project overview
Green Design & Construct delivers ongoing Grounds & Gardens Planned Preventative Maintenance across a diverse multi-site portfolio, ranging from major hospital campuses and community health facilities to retail precincts, commercial properties and other occupied operational environments.
Unlike a one-off landscaping project, this service is delivered as a continuously managed maintenance programme. Each location is assigned an agreed service frequency and site-specific scope, with works planned around seasonal growth, presentation requirements, operational constraints and the way each facility is used.
Current GDC service records demonstrate recurring programmes delivered across NSW, the ACT, Victoria, Queensland and Western Australia, with weekly, fortnightly and monthly service frequencies used according to individual site requirements. Every attendance is managed through GDC's digital field reporting systems, providing a traceable record of the works completed, site conditions, safety checks, photographs, observations and identified issues.
DELIVERING CONSISTENT STANDARDS ACROSS LIVE ENVIRONMENTS
Grounds & Gardens maintenance is undertaken in environments that remain operational while GDC is onsite. Our delivery model extends beyond grounds and garden maintenance. Each attendance follows a controlled sequence that considers access, operational activity, pedestrian and vehicle interfaces, environmental conditions and site-specific restrictions before work begins.
Programmed works are geographically and operationally coordinated, with service frequencies adjusted to seasonal conditions where applicable. High-growth periods require increased mowing, edging, trimming and weed-management activity, while lower-growth periods provide opportunities for more detailed garden maintenance, broadleaf treatment, asset inspections and recovery works.
At sensitive locations, service times are adapted to the environment. For example, works within children's outdoor areas may be programmed outside normal operating hours and undertaken only by appropriately credentialled personnel. Healthcare facilities incorporate site induction, access and sign-in requirements, while high-traffic commercial environments require careful separation of crews from customers, vehicles and other site users.
The result is a maintenance regime designed in and around the operation of the facilities whilst sympathetic to the environment and the landscape surrounds.

PROJECT OUTCOMES:
The ongoing programme provides clients with a structured approach to maintaining presentation, safety and landscape condition across geographically diverse property portfolios.
Key outcomes include:
Consistent presentation across programmed service locations
Controlled turf, garden and vegetation growth
Clear pedestrian, vehicle and operational access around maintained areas
Earlier identification of irrigation faults, landscape defects and emerging vegetation issues
Maintenance activity adapted to the public sector, open space, sport & recreation as well as commercial and industrial environments
Reduced reliance on reactive intervention through forward programming and routine inspections
Documented pre-start and safety controls
Photographic evidence of completed maintenance
Traceable digital service records for individual locations
Supervisor oversight and ongoing quality assurance
Portfolio-level reporting supporting contract performance and continuous improvement
A key component of the programme is the evidence produced with each service. GDC uses Formitize to create a structured field record of maintenance activities. Current job records capture information including the location and job number, date of attendance, work undertaken, personnel and labour time, pre-start checks, signatures, photographs and service observations.
The same system supports detailed site records showing activities such as mowing, edging, hedging, pruning, weed control, hardstand spraying, irrigation maintenance, litter collection and garden-bed maintenance.
Pre-start records also verify controls including current SWMS and safety documentation, required licences and competencies, PPE, emergency arrangements, waste controls and worker readiness before works commence. For larger portfolios, this information is consolidated into management reporting to provide visibility of scheduled locations, completed services, outstanding work, access constraints, site observations and additional works.
This gives clients more than confirmation that a contractor attended, as it provides an auditable record of what was completed and the condition of the site at the time of service.
GDC applies a consistent field delivery process across programmed maintenance contracts:
PLAN - Confirm the location, service frequency, programmed scope, access requirements and any site-specific constraints.
ACCESS & PRE-START - Complete required inductions and sign-in processes, review site conditions and undertake the relevant pre-start safety assessment.
ESTABLISH CONTROLS - Assess pedestrians, vehicles, public interfaces, weather and work areas. Establish PPE, signage, exclusion or work-zone controls appropriate to the task.
DELIVER THE PROGRAMMED WORKS - Complete the scheduled mowing, edging, garden, vegetation, irrigation, weed-control and presentation activities.
INSPECT & IDENTIFY - Review the completed work and identify defects, irrigation issues, vegetation concerns, hazards or additional works requiring attention.
REPORT & CLOSE OUT - Complete the digital job report, photographs and relevant safety documentation through Formitize, creating a documented service history for the location.
This process allows GDC to maintain visibility from the programmed schedule through to individual site attendance and final service evidence.
Build. Maintain. Sustain.
GDC's Grounds & Gardens Planned Preventative Maintenance programme demonstrates our ability to manage repetitive, high-volume service delivery without losing visibility at individual site level.
Through planned scheduling, experienced field teams, appropriate plant and equipment, site-specific safety controls and transparent digital reporting, we provide clients with an accountable maintenance service designed to protect presentation, accessibility and landscape condition over the long term.
The service is not defined by a single handover date. Its success is demonstrated by maintaining the required standard, visit after visit, across every location.
